Summary
The role involves managing a broad range of administrative and office-management responsibilities, including calendar coordination, travel arrangements, meeting scheduling (internal and external), document and correspondence preparation, visitor screening, and other related tasks.

The ideal candidate will have proven experience in handling administrative and executive support functions, working independently with minimal direction. This position requires outstanding organizational skills, flexibility, and the ability to thrive in a fast-paced environment. The successful candidate need to demonstrate integrity, discretion, and resourcefulness while interacting effectively with staff at all levels. A proactive, positive, and hardworking approach, combined with the ability to prioritize under pressure, is essential.

 

Contract Duration
Fixed Term – One Year

 

Key Accountabilities, We expect you to:
Manage Regional President’s calendar, schedule meetings, and coordinate logistics.

Prepare agendas, briefing materials, and presentations for meetings.

Act as the first point of contact for internal and external stakeholders.

Handle sensitive information with discretion and maintain confidentiality.

Support Regional President in managing priorities and deadlines.

Organize travel arrangements and process expense reports accurately.

Organize team travel and logistics, collaborating closely with company Travel Coordinators to ensure business travel requirements are complete and run efficiently.

Arrange transportation for Executive visitors from BP.

Maintain filing systems, manage office supplies, and ensure smooth operations.

Partner with other Team Assistants to provide support when needed, including holiday cover for colleagues.

 

Essential Experience and Job Requirements
Open for Omani nationals.

Minimum 8 years of experience as admin assistant to senior executive.

Very Good verbal and written communication skills.

Strong knowledge of MS Office, including Word, Excel, PowerPoint, SharePoint and Outlook.

The successful candidate will have access to a wide variety of information and will be required to use judgement and discretion frequently in their work.

Strong organisational skills are required to lead the team and individual agendas effectively.

Attention to detail and systematic approach to work.

Good team player who is self-motivated but also able to work independently.

Excellent calendar management skills, including the coordination of complex executive meetings.

Experience in developing and maintaining filing and information systems.

Experience scheduling travel arrangements for team.

Ability to deal comfortably with internal and external contacts at all levels.

Efficient organisational and administrative skills.

Positive mindset, professional, people focussed, friendly communication skills.

Ability to maintain boundaries and clear delineation of responsibilities in a task or situation.

Essential Education
Bachelor’s degree in Business Administration, Management, Communication or a related field.
