Job Purpose
The Activities Coordinator is responsible the planning, organization, and implementation of the student activities at the school.

 

Key Responsibilities:
Schedule all trips, events and activities on the school calendar and approved by the School Director in collaboration with the Student Life Coordinator (SLC) and Activities Department prefects, while taking into consideration any scheduling conflicts with other happenings including academic ones
Organize school events in coordination with the Student Life Coordinator (SLC) and Activities Department prefects
Coordinate the implementation of trips, events and activities with all those involved, including the prefects, with the support and guidance of the SLC
Plan the Extracurricular Activities (ECAs) (paid and/or unpaid) after school and/or on weekends according to the students’ and parents’ interests
Communicate all the information about trips, clubs, events, activities and their schedule to staff, students, and parents if applicable
Assign deadlines and responsibilities to all parties involved in the planning and implementation of every activity
Research and contact travel agencies, vendors and/or contractors for trips, events, activities, and ECAs. Seek competitive quotations while negotiating prices and terms. Share recommendations with the SLC, and seek approval from the Director
Vet external facilitators for ECAs and other events/activities requiring non-school staff, whether held within or outside the school
Encourage school staff to lead clubs based on their interests and expertise
Ensure that all paperwork, waivers, and permission forms for school trips, events and activities are updated, distributed, and collected along with any dues
Enter all the Events, Activities, and clubs on the SLO AMPS along with the enrollment data through the Student Life Organization Management Department. Generate and distribute all attendance lists and ensure attendance records are entered timely on the SLO AMPS
Print weekly class participation lists for clubs to be posted in the classrooms
Follow up with students who are absent from activities
Review regularly all activities (clubs, events, etc.) to ensure they are relevant to the students’ needs and interests
Clarify rules and expectations for all activities to staff and club leaders alike
Promote clubs and events to students to ensure maximum participation
Observe clubs during the student life period and other ECA activities to ensure they are running smoothly and efficiently
Compile feedback to evaluate every activity and/or club for improvement
Coordinate with the SLC regarding all activities, clubs, and events before execution
Follow up with SLO News Management Prefects to ensure that every event/activity is submitted to the SLO Corporate entity to be published on the SLO News website
Support other SLO departments if the need arises
Perform other related tasks as they arise and as delegated by the School Management
Ideal Requirements:
Bachelor’s degree in a relevant field or relevant experience
English Proficient; local language is a must
A minimum of 1 year of experience in a related field
Experience in the SABIS® Network is preferable
